    “Move-in day is kind of like our Superbowl”

    The academic year has officially begun at MIT, and the halls are once again filled with the energy and excitement that only students can bring. But MIT’s campus does not come to life automatically.

    The flurry of activity happening around campus this week was preceded by a lot of hard work by thousands of staff members committed to getting the school year off to a seamless start.

    “Getting MIT ready to welcome new and returning students is a real team effort, and much of the work goes on over the summer or behind the scenes when many students are away from campus,” says Suzy Nelson, vice chancellor and dean for student life. “I’m grateful to all of the staff members in the Division of Student Life and across the Institute whose dedication to their job and exceptional efforts help to make the MIT experience so special from the moment students arrive on campus.”

    Describing all of those efforts would require a book-length article, but here we highlight a few examples of the behind-the-scenes work that ushers in the new academic year.

    Housing and Residential Services

    One might think the team responsible for housing at MIT gets a break in June and July when undergraduates leave for the summer. But the housing team stays busy year-round. Summer months offer openings for renovations, planning, and events like summer programs and conferences (some of which provide housing). In fact, team members say the planning alone is nearly a year-round job.

    “We start planning for students coming back in May because first-year students are confirming attendance and starting to indicate their preferences for where they want to live, and housing works really closely with student leaders in each of the undergrad residences because our student leaders are very involved with room assignments,” explains Rich Hilton, associate dean and director for residential services and operations. “On the graduate side, grads typically move in Aug. 1, and departing grad students move out at the end of July, or sometimes earlier, so in those early summer months there’s a lot of transitioning happening.”

    Of course, move-in day for undergraduates and the subsequent Welcome Week are an important time for the Housing and Residential Services team to help the MIT community’s newest members settle in.

    “Move-in day is kind of like our Superbowl,” Hilton says. “All the summer projects we work on are to prepare and maintain the residence halls for new and returning students to be living in the residence halls. The ramp-up involves making sure the residences are refreshed and ready, and the welcome efforts include providing moving bins, materials, and moving assistance. For students who have never been to campus before, residential staff are often the first people they meet, so we want to put a really good impression out there. We pull out all the stops to make sure that welcome efforts are top-notch.”

    Hilton says the atmosphere is always special on move in day.

    “The students are a wonderful motivation,” Hilton says. “It’s great seeing the new students come in with their families. Students are coming from all corners of the world, from different backgrounds, and more often than not the parents are just beaming with pride, so being able to greet them and even reassure them if needed is really rewarding.”

    In all, MIT Housing and Residential Services employs more than 200 people focused on assignments, maintenance, cleaning, residential security, and more, to make living on campus as enjoyable as possible.

    “Housing truly is 24/7, 365,” Hilton says. “Our team members are on campus keeping our residents safe and happy and serving them 24 hours a day. They’re here rain or shine, and it’s nice to keep them in mind.”

    Dining

    MIT Dining works with students to offer healthy, affordable, and culturally meaningful food in environments that promote social connections, sustainability, and innovation. The department oversees nine different third-party contractors to provide services across 20+ locations — and MIT’s own dining staff consists of just two people: Director of Campus Dining Mark Hayes and Assistant Director of Dining Operations Heather Ryall.

    Typical summer months provide an opportunity for the small team to look at food trends, work with dieticians and food allergy specialists, review menus, and explore ways to improve operations. This summer was even busier thanks to renovations at the Stratton Student Center and Maseeh Hall and the introduction of new food stations in CommonWealth Kitchen and at Forbes Café.

    In August, MIT Dining makes sure it has established open lines of communication with new student leaders and other groups around campus

    “We interact with a lot of student groups this time of year,” Hayes says. “It’s exciting to start with a new group of students and get feedback, collaborating and sharing ideas. It reminds us of what we’re here for: students. If things are working, that’s great! If they’re not working, let’s collaborate and figure out what can we do better — let’s make it a pset [problem set]. What are we not doing that we should be? I’ve been lucky in that students at MIT are really engaged.”

    “August is when everyone wants to get together and make sure we’re starting off on the right foot,” Hayes says. “That two-way flow of information is what it’s all about, and it’s really strong here.”

    Some dining locations stay open through the summer to support grad students, faculty and staff, but residential dining halls shut down. By August, some international students and athletes begin moving back to campus. Then Welcome Week begins for first-year students. Then pretty much everyone else returns over Labor Day Weekend.

    “In a way, you go from almost zero to 100,” Hayes says.

    This academic year, DSL will undertake a thorough review of the residence hall dining program, gathering student and community input on enhancements. This follows a similar review of campus retail dining operations completed in December 2022.

    Student Support and Wellbeing

    The Student Support and Wellbeing team, co-led by Associate Dean and Senior Director Jimmy Doan, offers a slate of resources to make it easy for students to seek help if they need it, and to encourage students to take care of themselves throughout their time at MIT. The team also coordinates with faculty, staff, and student groups across the Institute to foster an environment where students’ sense of belonging and well-being is prioritized.

    Ahead of the new school year, team members have been sharing with faculty best practices for fostering student well-being in the classroom and labs, including presenting workshops to new faculty members to inform them of resources to use when they’re concerned about students.

    They have also been connecting with student leaders so they can help their peers prioritize well-being. “Come early August, we’re facilitating a lot of trainings and gearing up for new student orientation programs.” Doan says. “We’re working with a lot of student leaders this time of year. We know students learn as much from each other as they do from us.”

    New student orientation offers a chance to provide a week’s worth of programming to incoming first-year students. In one of those sessions, Dear Future Me, older students share their perspectives on prioritizing well-being and accessing support at MIT.

    “We try to normalize students getting help at MIT when they need it,” Doan says. “Starting from day one of orientation we tell them getting help is for everybody.”

    One office where nearly 80 percent of undergraduate students seek out help before they graduate is Student Support Services, more commonly known as “S3” or “S-Cubed.” The staff in S3 are preparing for the start of the year by revamping their virtual drop-in hours for students, which students can access from the S3 website.

    MIT student club Engineers Without Borders works with local village in Tanzania

    Four students from the MIT club Engineers Without Borders (EWB) spent part of their summer in Tanzania to begin assessment work for a health and sanitation project that will benefit the entire village, and an irrigated garden for the Mkutani Primary School.

    The club has been working with the Boston Professional Chapter of Engineers Without Borders (EWB-BPC) since 2019. The Boston chapter finds projects in underserved communities in the developing world and helped connect the MIT students with local government and school officials.

    Juniors Fiona Duong, female health and sanitation team lead, and Lai Wa Chu, irrigation team lead, spent two weeks over the summer in Mkutani conducting research for their projects. Chu was faced with finding more water supplies and a way to get water from the nearby river to the school to use in the gardens they were planting. Duong was charged with assessing the needs of the people who visit The Mkutani Dispensary, which serves as a local medical clinic. Juniors Hung Huynh, club president, and Vivian Cheng, student advisor, also made the trip to work on the projects.

    Health and sanitation project

    Duong looked into ways to help pregnant women with privacy issues as the facility they give birth in — The Mkutani Dispensary — is very small, with just two beds, and is in need of repairs and upgrades. Before leaving Cambridge, Duong led FaceTime meetings with government officials and facilities managers in the village. Once on the ground, she began collecting information and conducted focus groups with the local women and other constituents. She learned that one in three women were not giving birth in the dispensary due to privacy concerns and the lack of modern equipment needed for high-risk pregnancies.

    “The women said that the most pressing need there was water. The women were expected to bring their own water to their deliveries. The rain-catching system there was not enough to fulfill their needs and the river water wasn’t clean. When in labor, they relied on others to gather it and bring it to the dispensary by bike,” Duong says. “With broken windows, the dispensary did not allow for privacy or sanitary conditions.”

    Duong will also analyze the data she collected and share it with others before more MIT students head to Mkutani next summer.

    Farming, sustainability, and irrigation projectBefore heading to Mkutani, Chu conducted research regarding irrigation methods and water collection methods. She confirmed that the river water still contained E.coli and advised the teachers that it would need to be boiled or placed in the sun for a few hours before it could be used. Her technical background in fluid dynamics was helpful for the project.

    “We also found that there was a need for supplemental food for the school, as many children lived too far away to walk home for lunch. The headmaster reached out to us about building the garden, as the garden provides supplemental fruit and vegetables for many of the 600 students to eat. They needed water from the river that was quite far away from the school. We looked at ways to get the water to the garden,” Chu says.

    The group is considering conducting an ecological survey of the area to see if there is another source of water so they could drill another borehole. They will complete their analysis and then decide the best solution to implement.

    “Watching the whole team’s hard work pay off when the travel team got to Mkutani was so amazing,” says second-year student Maria Hernandez, club internal relations chair. “Now, we’re ready to get to work again so we can go back next year. I love being a part of Engineers Without Borders because it’s such a unique way to apply technical skills outside of the classroom and see the impact you make on the community. It’s a beautiful project that truly impacts so many people, and I can’t wait to go back to Mkutani next year.”

    Both Duong and Chu hope they’ll return to the school and the dispensary in summer 2023 to work on the implementation phase of their projects. “This project is one of the reasons I came to MIT. I wanted to work on a social impact project to help improve the world,” Chu says.

    “I hope to go back next summer and implement the project,” adds Duong. “If I do, we’ll go during the two most crucial weeks of the project — after the contractors have started the repair work on the dispensary, so we can see how things are going and then help with anything else related to the project.”

    Duong and Chu said students don’t have to be engineers to help with the EWB’s work — any MIT student interested in joining the club may do so. Both agree that fundraising is a priority, but there are numerous other roles students can help with.

    “MIT students shouldn’t be afraid to just dive right in. There’s a lot that needs to be done there, and even if you don’t have experience in a certain area, don’t let that be a barrier. It’s very rewarding work and it’s also great to get international work experience,” Duong says.

    Chu added, “The project may not seem flashy now, but the rewards are great. Students will get new technical skills and get to experience a new culture as well.” More

    Progress toward a sustainable campus food system

    As part of MIT’s updated climate action plan, known as “Fast Forward,” Institute leadership committed to establishing a set of quantitative goals in 2022 related to food, water, and waste systems that advance MIT’s commitment to climate. Moving beyond the impact of campus energy systems, these newly proposed goals take a holistic view of the drivers of climate change and set the stage for new frontiers of collaborative climate work. “With the release of ‘Fast Forward,’ the MIT Office of Sustainability is setting out to partner with campus groups to study and quantify the climate impact of our campus food, while deeply considering the social, cultural, economic, and health aspects of a sustainable food system,” explains Susy Jones, senior sustainability project manager. 

    While “Fast Forward” is MIT’s first climate action plan to integrate the campus food system, the Division of Student Life (DSL) has long worked with dining vendors, MIT’s Office of Sustainability (MITOS), and other campus partners to advance a more sustainable, affordable, and equitable food system. Initiatives have ranged from increasing access to low-cost groceries on and around campus to sourcing sustainable coffee for campus cafes.

    Even with the complexities of operating during the pandemic, efforts in this area accelerated with the launch of new partnerships, support for local food industries, and even a food-startup incubator in the Stratton Student Center (Building W20). “Despite challenges posed by the pandemic, MIT Dining has been focused on positive change — driven in part by student input, alterations to the food landscape, and our ongoing goal to support a more sustainable and equitable campus food system,” says Mark Hayes, director of MIT Dining.

    New vendors on campus focus on healthy food systems

    For many, a fresh cup of coffee is a daily ritual. At MIT, that cup of coffee also offers an opportunity to make a more sustainable choice at the Forbes Family Café in the Stata Center (Building 32). The cafe now brews coffee by Dean’s Beans, a local roaster whose mission is to “prove that a for-profit business could create meaningful change through ethical business practices rooted in respect for the earth, the farmer, our co-workers, and the consumer.” The choice of Dean’s Beans — a certified B Corporation located in Orange, Massachusetts — as the new vendor in this space helps advance MIT’s commitment to sustainability. Businesses that achieve this certification meet rigorous social and environmental goals. “With choices like this, we’re taking big issues down to the campus level,” says Hayes. Dean’s Beans focuses on long-term producer relationships, organic shade-grown and bird-friendly coffee, a solar-powered roasting facility, and people-centered development programs. These practices contribute to healthier environments and habitats — benefiting farmers, soils, birds, pollinators, and more.

    Another innovative new food concept for the MIT community can be found down the street in the Stratton Student Center. The Launchpad, a nonprofit food business incubator created in partnership with CommonWealth Kitchen (CWK), debuted this fall in the second-floor Lobdell Food Court. It offers the MIT community more variety and healthy food options while also “advancing CWK’s and MIT’s mutual goal to support diverse, local start-up food businesses and to create a more just, equitable, and sustainable food economy,” according to DSL. Work on the Launchpad began in 2018, bringing together the Student Center Dining Concepts Working Group, comprising students from the Undergraduate Association, Graduate Student Council, DormCon, house dining chairs, and other students interested in dining and dining staff from the MITOS and DSL. Their goal was to re-envision dining options available in Lobdell to support local, diverse, and sustainable menus. “We’ve been nurturing a partnership with CommonWealth Kitchen for years and are excited to partner with them on a project that re-imagines the relationship between campus and local food systems,” says Jones. “And, of course, the vegetarian arepas are a highlight,” she adds.

    Local partnerships for sustainability

    The impacts of Covid-19 on local food businesses quickly came into focus in early 2020. For the New England fishing industry, this impact was acute — with restaurant closures, event cancellations, and disruptions in the global supply chain, fisheries suddenly found a dearth of markets for their catch, undermining their source of income. One way to address this confluence of challenges was for fisheries to expand into new markets where they may have had limited knowledge or experience.

    Enter MIT Sea Grant and MIT Dining. Supported in part by funding from the National Oceanic and Atmospheric Administration, MIT Sea Grant created the Covid-19 Rapid Response Program to develop new markets for local fisheries, including local food banks and direct sales to organizations including MIT. Though MIT Dining was stretched thin by the pandemic, the partnership offered a singular opportunity to support vital regional businesses and enhance menus in campus dining venues. “The stress level was unimaginable as more people were testing positive in the early days of the pandemic — it was the worst and most stressful time to do anything outside of what was completely necessary, and I get this phone call about chowder,” recalls Hayes. “Everyone is wearing two masks and standing six feet apart, but in about 15 seconds, I said to myself, ‘This is the exact time this needs to happen — in the middle of a pandemic when fishermen need support, families need support, people need support.’”

    Shortly after getting the call, Hayes and MIT Dining hosted a tasting event featuring “Small Boats, Big Taste Haddock Chowder,” developed through MIT Sea Grant’s work with the Cape Cod Commercial Fishermen’s Alliance, which helped independent fishermen stay on the water during Covid-19. The tasting event also offered students a break to stop by and sample the chowder, which later debuted and continues to be served at MIT dining halls. For Hayes, one success of the partnership was the agility it demonstrated. “We don’t know what the next crisis is going to be, but these experiences will make us stronger to handle the next moment when people need the food system to work,” he says.

    In addition to ready-made options for students, MIT Dining and partners have also been working to support students who prepare their own meals, collaborating with local businesses to provide students access to lower-cost and at-cost groceries and food products. The Food Security Action Team, convened by Senior Associate Dean for Student Support and Well-being David Randall and DSL Executive Director for Administration Peter Cummings, is focused on taking action, tracking, and updating the community on food security efforts. These efforts have included collaborating with the Daily Table, a new nonprofit community grocer in Central Square. The store now accepts TechCASH and recently worked with the committee to host an interactive food tour for students.

    Because food systems are so interdependent and partnerships are critical — on and off campus — Hayes says it’s important to continue to share and learn. “Sharing our stories is crucial because we can help strengthen networks of campuses, institutions, and businesses in New England to grow more sustainable food programs like these.” More

    MIT students explore food sustainability

    As students approached the homestretch of the fall semester, many were focused on completing final projects and preparing for exams. During this time of year, some students may neglect their well-being to the point of skipping meals. To help alleviate end-of-term stress and to give students a delicious study break, the Food Security Action Team recently offered a group of first-year students the opportunity to join a food tour of Daily Table, a new grocer located in Cambridge’s Central Square.

    Seventeen students along with staff from Student Financial Services, Office of the First Year, and the Office of Sustainability led the group from the steps of 77 Massachusetts Avenue a few blocks down the street to Daily Table in Central Square. As part of participating in the program, students were given a $25 TechCash gift card to shop for grocery items during the trip. To make things even more fun, MIT staff created a recipe challenge to encourage students to work together on making their own variation of quesadillas.

    Healthy, affordable, sustainable

    At Daily Table, students were greeted by Celia Grant, director of community engagement and programs from Daily Table, who led them through a tour of the space and highlighted the history and model of the grocery store, as well as some of its unique features. Founded by former Trader Joe’s president Doug Rauch in 2015, Daily Table operates three retail stores in Dorchester, Roxbury, and Central Square, and a commissary kitchen in the Boston metro area. Two more stores are in the works: one in Mattapan and another in Salem. For added convenience, Daily Table also offers free grocery delivery within a two-mile radius of its three locations.

    The Daily Table’s ethos is that delicious and wholesome food should be available, accessible, and affordable for everyone. To achieve these goals, Daily Table provides a wide selection of fresh produce, nutritious grocery staples, and made-from-scratch prepared grab-n-go foods at affordable prices. “All of our products meet strict nutritional guidelines for sodium and sugar so that customers can make food choices based on their diets, not based on price,” says Grant.

    In addition to a large network of farmers, manufacturers, and distributors who supply food to their stores, Daily Table often recovers and rescues perfectly good food that would have otherwise been sent to landfills. Surplus food, packaging and/or label changes, and items with close expiration dates are often discarded by larger grocery stores in the supply chain. But Daily Table steps in to break this cycle of waste and sell these products to customers at a much lower cost. 

    The pandemic has uncovered how difficult it can be for individuals and families to budget for necessities like utilities, rent, and even food. Daily Table seeks to create a more sustainable future by providing access to more well-balanced, nutritious food. “Even before the pandemic, it was challenging for families on limited incomes to meet the nutrition needs of their families. Post-pandemic, this challenge has now encompassed even more households, even those that have never before been challenged in this way,” says Grant. “As winter moves through, and inflation increases, the need for more affordable food and nutrition will rise. Daily Table is prepared to help meet those needs, and more.” 

    Food resources at MIT

    Downstairs at the Daily Table Central Square store, MIT staff members led a discussion about the components of a sustainable food system at MIT and beyond, shared advice on how to budget for food, and offered tips on how to make grocery shopping or cooking fun with fellow classmates and peers. “Shopping at Daily Table provides an experiential case study in solving for multiple goals at once — from the environmental impacts of food waste to healthy eating to affordability — an important framework to consider when tackling climate challenges.” says Susy Jones, senior sustainability project manager in the MIT Office of Sustainability.

    The group also discussed budgeting expenses, including food. “By taking students to the grocery store and providing some small but meaningful tips, we provided them the opportunity to put their learning into practice!” says Erica Aguiar, associate director for financial education in Student Financial Services. “We saw students taking a closer look at prices and even coming together to share groceries.”

    MIT senior and DormCon Dining Chair Ashley Holton shared her grocery shopping strategies with the group, and how she utilizes resources available at MIT. “Having a plan before you enter the grocery store is really important,” says Holton. “Not only does it save time, but it helps you avoid potentially getting more than what your budget allows for, while also making sure you get all the food you’ll need.”

    This program, along with many others, is part of MIT’s larger effort on fostering a more food-secure and sustainable campus for all students. Food Security Action Team members, including students, staff, and campus partners, are striving to achieve this goal by ensuring that there continues to be a well-organized and coordinated action around food security that can be implemented effectively each year. For example, to make shopping at Daily Table even easier, MIT has made it a priority to ensure the store accepts TechCash.

    No MIT student should go hungry due to lack of money or resources, and no student should feel like they need to be “really hungry” to ask for help. MIT offers several other resources to help students find the nutrition and other support they need. In addition, the Office of Student Wellbeing launched their DoingWell website, which offers programs and resources to help students prioritize their well-being by practicing healthy habits and getting support when they need it.

    “In my own cost-analysis comparison of staple grocery items of all the local grocery stores, no other store comes close to being able to offer what Daily Table does for the prices it does. It’s really remarkable to learn and experience just how Daily Table is changing the food system,” says Holton. “Its model is one of the many ways that will continue to foster a more food-secure community where everyone — including MIT students — can access affordable, nutritious food.” More

    Energy hackers give a glimpse of the postpandemic future

    After going virtual in 2020, the MIT EnergyHack was back on campus last weekend in a brand-new hybrid format that saw teams participate both in person and virtually from across the globe. While the hybrid format presented new challenges to the organizing team, it also allowed for one of the most diverse and inspiring iterations of the event to date.

    “Organizing a hybrid event was a challenging but important goal in 2021 as we slowly come out of the pandemic, but it was great to realize the benefits of the format this year,” says Kailin Graham, a graduate student in MIT’s Technology and Policy Program and one of the EnergyHack communications directors. “Not only were we able to get students back on campus and taking advantage of those important in-person interactions, but preserving a virtual avenue meant that we were still able to hear brilliant ideas from those around the world who might not have had the opportunity to contribute otherwise, and that’s what the EnergyHack is really about.”

    In fact, of the over 300 participants registered for the event, more than a third participated online, and two of the three grand prize winners participated entirely virtually. Teams of students at any degree level from any institution were welcome, and the event saw an incredible range of backgrounds and expertise, from undergraduates to MBAs, put their heads together to create innovative solutions.

    This year’s event was supported by a host of energy partners both in industry and within MIT. The MIT Energy and Climate Club worked with sponsoring organizations Smartflower, Chargepoint, Edison Energy, Line Vision, Chevron, Shell, and Sterlite Power to develop seven problem statements for hackers, with each judged by representatives form their respective organization. The challenges ranged from envisioning the future of electric vehicle fueling to quantifying the social and environmental benefits of renewable energy projects.

    Hackers had 36 hours to come up with a solution to one challenge, and teams then presented these solutions in a short pitch to a judging panel. Finalists from each challenge progressed to the final judging round to pitch against each other in pursuit of three grand prizes. Team COPrs came in third, receiving $1,000 for their solution to the Line Vision challenge; Crown Joules snagged second place and $1,500 for their approach to the Chargepoint problem; and Feel AMPowered took out first place and $2,000 for their innovative solution to the Smartflower challenge.

    In addition to a new format, this year’s EnergyHack also featured a new emphasis on climate change impacts and the energy transition. According to Arina Khotimsky, co-managing director of EnergyHack 2021, “Moving forward after this year’s rebranding of the MIT Energy and Climate Club, we were hoping to carry this aim to EnergyHack. It was incredibly exciting to have ChargePoint and SmartFlower leading as our Sustainability Circle-tier sponsors and bringing their impactful innovations to the conversations at EnergyHack 2021.”

    To the organizing team, whose members from sophomores to MBAs, this aspect of the event was especially important, and their hope was for the event to inspire a generation of young energy and climate leaders — a hope, according to them, that seems to have been fulfilled.

    “I was floored by the positive feedback we received from hackers, both in-person and virtual, about how much they enjoyed the hackathon,” says Graham. “It’s all thanks to our team of incredibly hardworking organizing directors who made EnergyHack 2021 what it was. It was incredibly rewarding seeing everyone’s impact on the event, and we are looking forward to seeing how it evolves in the future.”­­­ More

The challenges ranged from envisioning the future of electric vehicle fueling to quantifying the social and environmental benefits of renewable energy projects.

    Hackers had 36 hours to come up with a solution to one challenge, and teams then presented these solutions in a short pitch to a judging panel. Finalists from each challenge progressed to the final judging round to pitch against each other in pursuit of three grand prizes. Team COPrs came in third, receiving $1,000 for their solution to the Line Vision challenge; Crown Joules snagged second place and $1,500 for their approach to the Chargepoint problem; and Feel AMPowered took out first place and $2,000 for their innovative solution to the Smartflower challenge.

    In addition to a new format, this year’s EnergyHack also featured a new emphasis on climate change impacts and the energy transition. According to Arina Khotimsky, co-managing director of EnergyHack 2021, “Moving forward after this year’s rebranding of the MIT Energy and Climate Club, we were hoping to carry this aim to EnergyHack. It was incredibly exciting to have ChargePoint and SmartFlower leading as our Sustainability Circle-tier sponsors and bringing their impactful innovations to the conversations at EnergyHack 2021.”

    To the organizing team, whose members from sophomores to MBAs, this aspect of the event was especially important, and their hope was for the event to inspire a generation of young energy and climate leaders — a hope, according to them, that seems to have been fulfilled.

    “I was floored by the positive feedback we received from hackers, both in-person and virtual, about how much they enjoyed the hackathon,” says Graham. “It’s all thanks to our team of incredibly hardworking organizing directors who made EnergyHack 2021 what it was. It was incredibly rewarding seeing everyone’s impact on the event, and we are looking forward to seeing how it evolves in the future.”­­­ More

    MIT Solar Electric Vehicle Team wins 2021 American Solar Challenge

    After three years of hard work, the MIT Solar Electric Vehicle Team took first place at the 2021 American Solar Challenge (ASC) on August 7 in the Single Occupancy Vehicle (SOV) category. During the five-day race, their solar car, Nimbus — designed and built entirely by students — beat eight other SOVs from schools across the country, traversing 1,109 miles and maintaining an average speed of 38.4 miles per hour.

    Held every two years, the ASC has traditionally been a timed event. This year, however, the race was based on the total distance traveled. Each team followed the same prescribed route, from Independence, Missouri, to Las Vegas, New Mexico. But teams could drive additional miles within each of the three stages — if their battery had enough juice to continue. Nimbus surpassed the closest runner-up, the University of Kentucky, by over 100 miles.

    “It’s still a little surreal,” says SEVT captain Aditya Mehrotra, a rising senior in electrical engineering and computer science. “We were all hopeful, but I don’t think you ever go into racing like, ‘We got this.’ It’s more like, ‘We’re going to do our best and see how we fare.’ In this case, we were fortunate enough to do really well. The car worked beautifully, and — more importantly — the team worked beautifully and we learned a lot.”

    Team work makes the dream work

    Two weeks before the ASC race, each solar car was put through its paces in the Formula Sun Grand Prix at Heartland Motorsports Park in Topeka, Kansas. First, vehicles had to perform a series of qualifying challenges, called “scrutineering.” Cars that passed could participate in a track race in hopes of qualifying for ASC. Nimbus placed second, completing a total of 239 laps around the track over three days (equivalent to 597.5 miles).

    In the process, SEVT member and rising junior in mechanical engineering Cameron Kokesh tied the Illinois State driver for the fastest single lap time around the track, clocking in at three minutes and 19 seconds. She’s not one to rest on her laurels, though. “It would be fun to see if we could beat that time at the next race,” she says with a smile.

    Nimbus’s performance at the Formula Sun Grand Prix and ASC is a manifestation of team’s proficiency in not only designing and building a superior solar vehicle, but other skills, as well, including managing logistics, communications, and teamwork. “It’s a huge operation,” says Mehrotra. “It’s not like we drive the car straight down the highway during the race.”

    Indeed, Nimbus travels with an impressive caravan of seven vehicles manned by about two dozen SEVT members. A scout vehicle is at the front, monitoring road and weather conditions, followed by a lead car that oversees navigation. Nimbus is third in the caravan, trailed by a chase vehicle, in which the strategy team manages tasks like monitoring telemetry data, calculating how much power the solar panels are generating and the remaining travel distance, and setting target speeds. Bringing up the rear are the transport truck and trailer, a media car, and “Cupcake,” a support vehicle with food, supplies, and camping gear.

    Leading up to the three-week event, the team devoted three years to designing, building, refining, and testing Nimbus. (The ASC was scheduled for 2020, but it was postponed until this year due to the Covid-19 pandemic.) They spent countless hours in the MIT Edgerton Center’s machine shop in Building N51, making, building, and iterating. They drove the car in the greater-Boston area, up to Salem, Massachusetts, and to Cape Cod. In the spring, they traveled to Palmer Motorsports Park in Palmer, Massachusetts, to practice various components of the race. They performed scrutineering tasks like the slalom test and figure eight test, conducted team operations training to optimize the caravan’s performance, and, of course, the “shakedown.” 

    “Shakedown is just, you drive the car around the track and you basically see what falls off and then you know what you need to fix,” Mehrotra explains. “Hopefully nothing too major falls off!”

    The road ahead

    At the conclusion of the race, Mehotra officially stepped down and handed SEVT’s reins to its new leaders: Kotesh will take the helm as team captain, and rising sophomore Sydney Kim, an ocean engineering major, will serve as vice-captain. The long drive back from the Midwest gave them time to reflect on the win and future plans.

    Although Nimbus performed well, there were a few instructive glitches here and there, mostly during scrutineering. But there was nothing the team couldn’t handle. For example, the canopy latch didn’t always hold, so the clear acrylic bubble covering the driver would pop open. (A little spring adjustment and tape did the trick.) In addition, Nimbus had a tendency to skid when the driver slammed on the brakes. (Driver training, and letting some air out of the tires, improved the traction.)

    Then there were the unpredictable variables, beyond the team’s control. On one day, with little sun, Nimbus had to chug along the highway at a mere 15 miles per hour. And there was the time that the Kansas State Police pulled the entire caravan over. “They didn’t realize we were coming through,” Mehrotra explains.

    Kim thinks one of the keys to the team’s success is that Nimbus is quite reliable. “We didn’t have wheels falling off on the road. Once we got the car rolling, things didn’t go wrong mechanically or electrically. Also, it’s very energy efficient because it’s lightweight and the shape of the vehicle is very aerodynamic. On a nice sunny day, it allows us to drive 40 miles per hour energy-neutral — the battery stays at the same amount of charge as we drive,” she says.

    The next ASC will take place in 2022, so this year the team will focus on refining Nimbus to race it again next summer. Also, they’ve set their sights on building a car to enter in the Multiple Occupancy Vehicle (MOV) class in the 2024 race — something the team has never done. “It will definitely take the three years to build a good car to compete,” Kotesh muses. “But it’s a really good transition period, after doing so well on this race, so our team is excited about it.”

    “It will be challenging for them, but I wouldn’t put it anything past them,” says Patrick McAtamney, the Edgerton Center technical instructor and shop manager who works with all the student clubs and teams, from solar vehicles to Formula race cars to rockets. He attended ASC, too, and has the utmost admiration for SEVT. “It’s totally student-run. They do all the designing and machining themselves. I always tell people that sometimes I feel like my only job is to make sure they have 10 fingers when they leave the shop.”

    In the meantime, before the school year begins, SEVT has another challenge: deciding where to put the trophy. “It’s huge,” McAtamney says. “It’s about the size of the Stanley Cup!” More
